Conference Producer (Defence)

The Opportunity:
There is the opportunity for a Conference Producer to join Clarion Defence & Security, who are a leading global defence conference and exhibition organiser. The individual will be working across the portfolio on a range of events, producing both strategic and technical level conferences.
The individual will be researching, coordinating and delivering high quality conference programs that complement and drive attendance across both established conference programs and new topics.
Reporting to the Head of Content the role will enable the successful candidate to:
  • Create a project plan for the creation and delivery of each program
  • Take responsibility for executing the plan on time and on budget
  • Take a leading role in developing content to attract new audiences

The Candidate:
The ideal candidate will be a Conference Producer who is looking to step up and take a lead in project management across large multinational conferences and who would welcome the challenge of launching new product expansions.

Key Responsibilities:
Program Creation

  • External stakeholder management and engagement with relevant industry figures to grow industry awareness and program-specific knowledge
  • Identifying and testing the most relevant areas for discussion during the event
  • In-depth phone based research of key subject areas and topics to write customer-centric conference agendas
  • Researching competitor events and identifying their strengths and weaknesses
  • Sourcing, selecting and securing the participation of high level industry leading speakers from around the world
  • Structuring conference programs to enhance interaction and sharing between attendees
  • Communicating clearly and professionally with all stakeholders across the program lifecycle
  • Working across multiple media types to develop a 365 engagement strategy

Content and thought leadership

  • Creating compelling copy for the website and content marketing
  • Identifying speakers and industry experts for comment on our events
  • Working with marketing to produce content pieces to be used for newsletters and web based promotions
  • Encouraging speakers to utilise their social networks to promote the event and their presence at that event
  • Identifying and engaging key industry stakeholders and associations to support the event’s content, marketing and industry credibility
  • Creating digital content as part of a portfolio-wide engagement platform, in order to expand audiences and solidify stakeholder relationships

Onsite

  • Assuming the role of conference project manager onsite to ensure customer satisfaction and value
  • Liaising with AV technicians to ensure programs run smoothly
  • Welcoming Keynotes, Chairs and Speakers to the event
  • Maintaining an on-going dialogue onsite with your Chair to support them in the running of the conference program
  • Managing any additional coordinators onsite for the efficient running of the program
  • Ensuring on-site branding and signage is appropriate and consistent
  • Overall control of the conference program onsite, including any hybrid elements

Post Event

  • Conducting the post event committee wash up, noting feedback and making appropriate updates to procedures or event delivery
  • Coordinate a feedback process to ensure we have a full report on the delivery of the event
  • Preparing a post event analysis of the performance of the conference, and proposing ways to enhance the agenda and overall running of the event in the future for greater customer value and satisfaction

Budgeting

  • Managing speaker expectations with regards to cost recovery for their involvement, minimising expenditure whilst maximising program quality
  • Liaising with operations prior to the event to confirm and manage the cost of AV requirements and room set up
  • Communicating with the Event Manager and the Exhibition Ops team to ensure catering is provided at an appropriate level for your expected level of attendance
  • Work closely with marketing to track the number of registrations and overall delegate revenue levels, including taking appropriate action to drive marketing forward in the event that a program is underperforming

  • Educated to degree level – ideally in an analytical or content focussed subject
  • Have a high level of commercial awareness
  • Excellent written skills to produce high quality copy and reports
  • Excellent research skills
  • Excellent project management skills
  • Creative and resourceful
  • The ability to rapidly develop competent knowledge of diverse and technical topics
  • Excellent communicator, aware and sensitive to protocols appropriate to their audience
  • Have the ability to break down complex concepts, make logical comparisons and identify underlying patterns and connections.
  • Be engaging, professional and have a diplomatic manner
